Job Description

The REFS Site Coordinator will take the responsibility in transforming the current local organization into the NBS REFS model for the site as well as assuming the operational responsibility thereafter.

She / he will drive superior performance for all Real Estate & Facility Services and ensure that standards are aligned with the overall REFS framework and properly applied.

This role ensures good functional expertise and collaborates with the network. She / he will establish a well performing operation that meets agreed service levels, drives operational excellence against defined benchmarks in line.

She / he will also build and develop talent, and drive a continuous improvement mindset at the site. The incumbent is accountable for the REFS site budget.


  • Support REFS Country Head with development of the strategic plans and lead implementation at the site
  • Understand business strategy and develop a REFS site strategy aligned with the country strategy.
  • Drive local innovative solutions / initiatives to deliver on the business case
  • Set clear objectives for the Site in line with NBS REFS vision and prepare budget in line with long-term business plan
  • Be accountable for the statutory responsibilities and signing authority at the site
  • Achieve of the targets and financial performance for the assigned portfolio
  • Provide local operational support within the portfolio to ensure quick resolution of issues, alignment
  • Co-lead local negotiations alongside with procurement as well as on-going vendor mgmt, providing adequate risk and control architecture, in compliance with internal and external rules and regulations
  • Manage the effectiveness, service quality and success on the site
  • Implementation and Operations

  • Manages vendor performance and contract compliance
  • Develop annual site budget
  • Review investment proposals
  • Ensure operational excellence and compliance in running REFS
  • Drive operational excellence, best practices and continuous improvement according to the standards established by the REFS COEs.
  • Monitor operating performance issues, assesses progress and takes corrective actions where required.
  • Deliver, measure and control the services to exceed customer expectations
  • Be fully accountable for compiling and delivering results to agreed budgets and schedules
  • Coordinate local communication requirements and associated activities (customer engagement)
  • Represent REFS (NBS) at the site
  • Ensure active and effective sharing of knowledge across the organization
  • Leverage best practices, market innovation and enabeling technical solutions
  • Responsible for leading HSE process and procedures for the location with one diret external reportee
  • People Management

  • Role model a leadership style which is inclusive, proactive, respectful, change agile, innovation / creativity and results driven with a strong customer service focus
  • Ensure proper interactions with the sites, also through personal visits to review performance
  • Build and develop talent, create succession plans for the key positions and drive a continuous improvement mindset in the organization and develop and execute training in the various areas of process excellence
  • Minimum requirements

    Bachelor's degree from the related departments of the universities

    Overall relevant work experience of approx. 6-8 years, ideally at multinational organizations

    Excellent level of English both spoken and written

    Good level of personal credibility, customer relationship management, networking

    Ability to communicate effectively across organizations and interact with site leadership

    Experience in driving improvement of services

    Ability to balance resource demands from multiple internal customers

    Experience of managing performance against SLAs combined with profound service mindset
